What Personal Data We Collect and Why We Collect It

Collection and use of personal data of customers, suppliers, and other contractors

Please be informed that we will collect and use the personal data you provide us because it is necessary to enter into and perform a potential agreement with you. This applies to both our (potential) customers and to parties we purchase goods and/or services from.

If you are a (potential) customer of ours, we will use your data to send you a quotation, to determine which specifications or wishes a particular matter or service must meet, to deliver goods or perform work for you, to invoice you, and to communicate with you efficiently about the execution aspects of the agreement.

If you are a (potential) supplier or other contractor, your personal data will also be necessary for the conclusion and execution of the agreement. In procurement, this is necessary to inform you about the specifications or wishes a particular matter or service should meet from our perspective, to send you a request for quotation, or to place an order with you, to pay your invoices, and to communicate with you efficiently about other aspects of the agreement.

You are not obliged to provide us with your personal data. However, if you do not provide us with sufficient personal data, we may not be able to perform the aforementioned activities.


If visitors leave comments on the site, we collect the data shown in the comments form, as well as the visitor’s IP address and browser user agent string to help with spam detection.

Who we share your data with

For the execution of a possible agreement with you, it is possible that we have to provide your personal data to parties that supply parts, materials, and products to us or that carry out work on our behalf. We also use external server space for the storage of (parts of) our sales and purchasing administration, of which your personal data is part. For this reason, your personal data is provided to our provider of server space. We also use Microsoft Office and the associated storage options for emails and other files. Finally, because we use a newsletter mailing service, your personal data is passed on to the provider of this service.


WARP Systems may use Google Analytics to track how users use the website and how effective Adwords ads from WARP Systems are on Google’s search results pages. The information obtained in this way, including the address of your computer (IP address), is transferred to and stored by Google on servers in the United States. Google uses this information to keep track of how our website is used, to provide reports about the website to WARP Systems, and to provide its advertisers with information about the effectiveness of their campaigns. WARP Systems has no influence on this. WARP Systems has not given Google permission to use Analytics information obtained through WARP Systems for other Google services.

Retention period of personal data

If you have requested a quote from us but have not become a customer of ours, we will delete your data no later than one year after our last contact. If we have received a quote from you but have not become a customer of yours, your personal data will also be deleted no later than one year after our last contact. If you have become a customer of ours or we of you, we will keep your personal data for the duration of seven years after the end of the financial year in which the agreement with you has been fully executed. The period of seven years corresponds to the period within which we are obliged to keep our administration for the Tax Authorities. After this period, we will delete your personal data.

Your rights

You have the right to ask us to view your own personal data. If there is reason to do so, you can also request us to supplement your personal data or to change inaccuracies. In addition, you have the right to request the deletion of your personal data or to limit its use. You can also object to the collection and use of your data or file a complaint with the Dutch Data Protection Authority. Finally, you can ask us for the acquisition of your personal data or transfer of that data to another party.
